Basic Bin Warehouse

This section describes all the functions available for the basic bin storage. The display of individual functions on the main mobile screen can be set in the Mobile Main Menu settings card.

Location Setup

It is necessary to set the default bins in the Bins tab:

Receive

The Receive function is used to process the receipt of goods from a purchase order.

Process diagram

  1. The Mobile Terminal user selects the purchase order.

  2. Then enters quantities, lot numbers, serial numbers, etc. for individual lines of the purchase order.

  3. The entered information is stored in the mobile warehouse document tables.

  4. After confirming the purchase order with the Finish button in the reader, the following is automatically performed in BC:

    a. The quantities entered for each line in the reader are written to the lines in the Purchase order, in the Quantity to receive field.

    b. Loaded batches and serial numbers are written to individual lines of the purchase order, which can be displayed using the standard Item Tracking Lines form (standard BC tracking reservations).

    c. Depending on the settings of the mobile terminal (field Post Receipt via MT Reader - options Post, or Post and print), the last step is to post the receipt. A standard Purchase Receipt document and related Value and Item Ledger Entries are created.

  5. Transfer from the inbound bin to the storage bin using Put-away function in the Mobile Terminal: the user scans the barcode of the item with the MT Reader and selects the storage compartment. After confirmation, the goods are moved from bin to bin.

The Reception process

The function is used to receive goods from a purchase order using a Mobile Terminal.

After starting the function, a list of purchase orders is displayed. The list is filtered on the location currently set in the Mobile Terminal.

If you check Receipt by supplier checknox in the Mobile Terminal Setup, the list of goods to be received is not grouped by purchase orders, but by Vendors. After selecting one, you choose from all items to receive from this vendor.

After selecting a purchase order (by clicking on a list item or entering the order code), a list of order lines is displayed.

You can select an order line you want to receive by reading the barcode of the goods (or cross-reference), manually entering the code, or selecting from the list.

If the item appears more than once in the list, the line must be selected manually, i.e. either

a) use a gesture - hold your finger on the line and select Receive

b) click on the line and select Receive in the menu.

After accepting, enter quantities and additional fields depending on the type of tracking.

For untracked goods, if the Qty. to Receive Scan via MT (for Items without tracking) in Mobile Terminal Setup is checked, then by loading the item code (cross-reference or item number), the quantity 1 is automatically filled in.

When you enter the quantity and confirm , the entered quantity is stored in the mobile document (and not directly in the purchase order). If you enter only a partial amount to be received, after confirmation , the receipt window with pre-filled remaining quantity will be displayed again. This window is displayed repeatedly until the entire quantity is received. If you don't want to receive another quantity after entering a partial quantity, you can check the Last item checkbox, which will return you directly to the list of order lines. You can also return to the order lines list by pressing the button.

In the list of document lines, you can view the quantity and tracking of already loaded items using the action Show tracking triggered by holding your finger on a line. Loaded tracking can be deleted using the action Delete on the line.

Finishing the document

After filling in the quantity and/or tracking, you can Finish the document by pressing the button in the menu.

The Finish button saves all entered data in the purchase order. According to Mobile Terminal Setup (field Post Receipt via MT Reader) the purchase receipt is either posted (and the document is printed), or the quantity to be received and tracking codes are only filled into the purchase order.

If you have Require Vendor Shipment No. field checked in the Mobile Terminal Setup, then after pressing the Finish button you will be prompted to enter the delivery note number.

After confirming with the button the receipt is completed.

Transfer Receive

The function is used:

  • To monitor and record quantities for receipt.

  • According to Mobile Terminal Setup you can either create posted transfer receipts to receipt bins from transfer lines, or just specify the destination bin at the receiving location.

  • Depending on the settings, the relevant documents can also be printed for the posted transfer receipt. The settings for printing documents are in the standard Report settings for transfers.

When started, a list of issued transfer orders is displayed. The list is filtered to the location set in the reader. Choose the transfer order you want to process.

You can also select the order to process by loading or entering the tracking number of an item in any of the transfer orders.

After selecting a transfer order (by clicking on a list item, or by loading the order code) a list of lines is displayed. Choose the line you want to process.

If the item is being tracked, enter the tracking numbers.

Enter quantity.

Info

If you have Qty. to Receive Scan via MT (for Items without tracking) checked in the Mobile Terminal Setup, then when you scann the item, the quantity to be received is automatically set to 1. When scanning the item again, the quantity is increased by 1.

Lines that are completely ready to receive have the Processed flag and are placed at the end of the list.

You can use the action to view or edit loaded tracking or amount.

Now you can Finish the document.

The Finish button saves all read data to transfer orders. According to Mobile Terminal Setup (field Post Transfer Receipt via MT Reader) either the transfer receipt is posted (and the document is printed), or only the quantity and tracking of received items is filled in the transfer order.

Return Receive

The function is used to receive goods from sales return orders using a Mobile Terminal.

After starting the function, a list of issued sales return orders is displayed, filtered to the location set in the reader.

After opening the given return order document, the list of goods to be received back to the warehouse is displayed. It is assumed that the Sales Return Order comes from functions Copy Document or Get rows to cancel, so that the tracking of the goods is already defined in the document and the warehouse worker must accept these defined items.

Use the function Show expected tracking.

After clicking on the expected tracking, you will see serial and lot numbers of items expected to receive.

If you want to accept these tracking lines, use Accept function on the line.

Untracked quantities can be accepted in the same way as on a purchase order.

Enter the quantity.

You can post the document using the Finish action in the menu.

Put-away

The function is used to move items from the default receiving bin (Default Inbound Bin set on the Location card) to selected bins in the warehouse.

After launching the function, you will see the contents of the default inbound bin. You can scan or enter the item codes or select from the list.

Select the unit of measure, if the item has more than one.

Enter tracking numbers - Lot and quantity, or serial number.

Then select the bin where you want to put the item.

Confirm the summary.

Production Put-away

The function is used to move items from the production bin to selected storage bin.

After starting the function, you will see a list of products in the default From-Production bin (set in Location card).

Select the product you want to Put-away.

If the goods have more than one unit of measure set on their card, select a unit of measure.

Enter the tracking number and quantity.

In the last step, select the destination bin where you want to Put-away the product.

After confirmation, the products are put-away.

Assembly Put-away

The function is used to move items from default From-assembly bin (set in the Locations tab) to storage bin.

After starting the function, you see contents of the From-assembly bin.

Choose unit of measure, if the item has more than one set on it's card.

Enter the tracking and quantity to receive.

In the last step, choose where you want to put-away the item.

After confirming the summary, the put-away is posted in BC.

Move

The function is used to record the physical movement of goods from bin to bin within one location.

Scan the barcode of the item, the lot number, or the serial number.

If the item has variants, select a variant. If the item has more than one item in the same lot number, select what item you want to move.

Enter or select the bin from which you want to move the goods.

Select a unit of measure, if the item has more than one.

Enter the quantity.

If the items are tracked by both lot and serial number, enter the relevant serial numbers.

Enter or select the destination bin.

After confirming the summary, the move is performed.

Ship

The function is used to process items for shipping to a sales order using an MT Reader.

The items are always moved from the storage bin to the outbound bin. According to Mobile Terminal Setup the following is done:

  • Ship - creation of a billed delivery.

  • Ship and print - creation of billed delivery and printing of relevant ones documents (delivery note, etc.).

After launching the function, a list of issued sales orders is displayed. The list is filtered to the location set in the Mobile Terminal.

After selecting a sales order, a list of order lines is displayed.

You can process lines of the document in following ways:

1)  Manually select from the list, use long press gesture on the line and click Ship.

2)  Scan the barcode of the item or it's cross-reference, or enter it manually.

3)  Scan or enter the item tracking number (serial or lot number)

These situations can occur:

    a.  Loaded tracking number is unique.

        i.  Serial numbers are loaded directly into the line tracking without the need to 
        select specific line. 
        Remaining amount is reduced by one.

        ii.  If you scan lot number located on one bin, you will be prompted to enter amount.

        iii.  If you scan lot number located on more bins, you fisrt specify the bin, then amount.

    b.  The tracking number is unique - the list of corresponding lines is filtered out.

Select the line you want to start processing.

Choose the bin where you want to pick the items to ship from and then enter the amount.

Processed lines are marked with Processed flag and sorted to the end of the list. You can view and delete processed lines by using Show Tracking action.

After you processed all the lines on the document, you can Finish it.

When pressing the Finish button, all entered data is saved and completion of removal from storage. If Posting shipping via the reader is enabled, a sales delivery is posted or a delivery note is printed. Otherwise, only the quantity to be delivered is filled in on the sales order lines.

Ship Transfer Order

The function is used to ship goods to a transfer order.

After starting the function, the list of issued transfer orders filtered to the location currently set in the Mobile Terminal will be displayed.

After selecting a transfer order (by clicking on a list item or loading the order number), a list of order lines is displayed.

Select or load the code of the line you want to process.

You can also load or enter the tracking number (serial or lot number). Following situations can occur:

  • The loaded lot is located in only one bin - you proceed to enter the amount.

  • The loaded lot is lcoated on multiple bins - you specify a source bin.

  • The loaded code is a serial number - it is processed directly into the line. Ie. the monitoring is completed and the remaining amount is reduced by 1.

Select the source bin and enter amount.

If you have Qty. to Receive Scan via MT (for Items without tracking) checked in the Mobile Terminal Setup, then when you scan the item, the quantity to be received is automatically set to 1. When scanning the item again, the quantity is increased by 1.

The processed line has the description Processed and is at the end of the list.

Depending on the settings, the relevant documents can also be printed for the posted transfer delivery. The settings for printing documents are in the standard Report settings for transfers.

You can display tracking for loaded document lines or cancel the loaded quantity using the Show tracking action.

Confirm the loaded lines and complete the work on the document using the Finish button. The process writes the data from the mobile document to the transfer order.

Ship Return Order

The process is used to ship the items to a purchase return order.

After starting the function, the list of released purchase return orders is displayed. Select what one you want to process.

The list of lines of the return order is displayed. To start processing the line, long press the line and select Show Expected Tracking.

It is assumed that the return arises from processes Copy Documents or Get Posted Document Lines to Reverse, so that the tracking of items is already defined in the document and the warehouse worker must ship this defined tracking.

After clicking on the expected tracking, you will see a statement on the document of inserted tracking (serial numbers and batches). Assuming the user wants to accept them, he will use the function Accept.

Choose the source bin and enter the quantity to return.

If the user accepts untracked goods, it is possible to accept them in the same way as in the sales order.

The process is completed by clicking Finish in the menu.

Production Pick

The function is used to register the move of components from storage bin to the production bin (set as To-Production bin on the location card).

Items cannot be picked from the Default Inbound bin. The user cannot pick more than specified in the production order.

After starting the function you will see the list of released production orders in the location currently set in the reader. Select, scan or enter the production order you want to process.

After selecting a production order, a list of components of the given production order is displayed. Select or scan the line you want to process.

Enter or scan the source bin, then select or scan the Lot you want to take the items from.

After defining the bin and tracking, enter the quantity to be picked.

In the list of document lines, you can view the quantity and tracking of already loaded items using the action Show tracking invoked by holding your finger on the line. Tracking can be deleted using the action Delete the row.

Pressing Finish performs the transfer between the bins, i.e. the picking itself.

Note

There is a new field Quantity (Base) prepared on Production Bin in the Production Order Components page - The field shows the quantity of already picked components in the basic unit of measure at the location and bin for the given production order.

If you need to transfer items without using the MT Reader (i.e. using the standard Item Reclassification Journal), it is necessary to have the number of the given production order in the Document number field, so that the field correctly displays the actually transferred quantity.

Assembly Pick

The function is used to register the transfer of assembly order components from storage bins to a To-Assembly bin (set in Locations settings card).

Items cannot be picked from the Default Inbound bin. It is not possible to pick more items than specified in the assembly order.

After starting the function, a list of issued assembly orders is displayed. The list only shows orders for the location that is set in the MT Reader.

You can start processing an order by selecting from the list or scanning or entering the barcode.

After selecting the order, a list of components from the of the given assembly order is displayed. If the line has a Processed mark, it means that the component has already been completely picked from storage.

You can start processing lines of the document by scanning item code, inserting the item code, or selecting from the list (Pick).

Enter the bin and tracking code of the item you want to pick.

Enter the quantity.

Use Show Tracking action to view or correct loaded items.

Click Finish to post the transfer between the bins, i.e. the actual pick from storage to the assembly order.

Note

There is a new field Quantity (Base) prepared on Production Bin in the Production Order Components page - The field shows the quantity of already picked components in the basic unit of measure at the location and bin for the given production order.

If you need to transfer items without using the MT Reader (i.e. using the standard Item Reclassification Journal), it is necessary to have the number of the given production order in the Document number field, so that the field correctly displays the actually transferred quantity.

Return Production Pick

The function is used to return material already picked for a production order. This function records the transfer of material from the production bin back to the warehouse.

You can return components only within the location currently set in the reader. If you need to return the material without using the reader, i.e. using standard Item Reclassification Log, you must have the number of the production order in the Document number field.

After starting the function, a list of issued production orders is displayed. You can start processing the order by scanning or manually entering the code or selecting from the list.

After selecting an order, a list of materials from the components of the production order is displayed.

To start processing individual lines, scan or manually enter the item number or tracking, or hold a finger and press the Return button.

The list of picked items (lots, serial numbers) is displayed. You can read a specific serial number, the entire lot to be returned, or mark a specific item.

Enter the amount to be returned.

Specify the destination bin, where the items will be returned to.

Processed lines are flagged as Processed and sorted to the bottom of the list.

In the list of document lines, you can view the loaded quantity and tracking using the action Show tracking triggered by holding your finger on a line. Loaded tracking can be deleted using the action Delete the row.

Now you can Finish the document to confirm the move from the production bin back to the warehouse.

Return Assembly Pick

The function is used to correct / return material already picked for an assembly order. This involves transferring material from the production bin back to the storage bin.

You can return components only to the location set in the Mobile Terminal. If you want to move the components without using the Mobile Terminal, (i.e. using the standard Item Reclassification Journal), it is necessary to have the Assembly order number in the Item No. field.

Select the assembly order you want to process by selecting from a list or scanning or manually entering the order number.

After selecting the order, a list of components of the assembly order is available. If the line has a Processed flag, it means that the component has been already completely processed.

To load items for return, you can either scan the barcode or select from the list by long pressing the line and using the Return action.

The list of picked items (lots, serial numbers) is displayed. Select a specific serial number or the entire lot to be returned, or select a specific item.

Enter amount and confirm.

Select the destination bin.

After you processed all the items, a Processed flag is displayed.

In the list of document lines, you can view the quantity and tracking already loaded using the action Show tracking invoked by holding your finger on a line. Loaded tracking can be deleted using the action Delete the row.

Use the Finish button to return the items back to the Storage bin.

Ship Without Document

The function is used to dispatch items from the warehouse without a document.

After starting the function you can enter the item number you want to ship without document. You can read a barcode from Cross-References or a lot number or serial number.

If there are several different items under one lot number, select what item you want to ship.

Then select the bin (if the item is located on multiple bins, or if it is not tracked).

Enter the quantity.

If the goods are tracked by both batches and serial numbers, you must specify the serial numbers to be issued.

Finally, the user will see a summary of what to do after confirmation will perform. After confirmation, the stock issue is posted.

Physical Inventory

The function is used to perform a physical inventory using a Mobile Terminal.

Steps:

1. In BC, open the Physical Inventory Journals card and use the Mobile Inventory action Calculate inventory (incl. Tracking).

In function Calculate inventory (incl. Tracking) these input parameters are available:

  • Posting Date - Specifies the date with which the inventory will be posted.

  • Document number - determines with which document number the inventory will be posted.

  • By dimensions - determines whether the quantity will be divided by dimensions during the design (same parameter as in the standard inventory calculation).

  • Use card dimensions - determines whether dimensions from the item card are to be added to the inventory line.

  • Delete existing lines - deletes data from the physical inventory journal. If tracking is defined for the lines, this tracking will be removed too.

  • Run evaluation - evaluates data from the physical inventory journal and compares it with system data in the physical inventory journals (i.e. compares the amount physically found during the inventory with the amounts in BC)

And these filters:

  • Item - filters the goods to be included in the inventory.

  • Location - filters the location to be included in the inventory.

  • Bin - filters the bin to be included in the inventory.

2. Execution of inventory using a Mobile Terminal. The Terminal keeps records of items in the auxiliary table, which is available for the given journal in Actions - Mobile Inventory - Physical Inventory Register. The procedure of the inventory by the reader can be left / interrupted at any time and you can return to continue any time later. The amount of individual items read by the reader is also displayed for each line Physical Inventory Journal in the Quantity (physical inventory) column - provided that a combination of tracking and bin has been found.

Inventory procedure in the Mobile Terminal

After starting the function, a list of already loaded items is displayed. If the physical inventory process is running for the first time, an empty list is displayed. The procedure for loading items is as follows:

1. Select an Item journal list.

2. Select the bin in which the items will be loaded.

3. After selecting a bin, you can start loading individual items in that bin:

  • If the items are being tracked, scan the serial or lot number.

  • If the items are not tracked, scan the barcode of the item representing the item number or EAN from the Cross References of the item.

4. Select the unit of measure - if more than one unit of measure is registered for the item units, choose in which unit of measure the goods were counted. It is then converted into the basic unit of measure in the inventory.

5. Enter the quantity.

  • If in Mobile terminal settings the Quick Physical Inventory field is checked, then after reading the barcode of the goods, the quantity 1 is automatically entered into the physical inventory log. Reloading the barcode will increase the quantity by one. Therefore you do not have to enter the quantity after loading the goods.

  • If the goods are monitored by both serial and lot numbers and the user enters a different quantity than the one registered in BC, he is prompted to read the serial numbers.

  • If you enter the same quantity as registered in the BC, you do not have to enter the serial numbers.

After you successfully load the goods, the window for loading more goods will open again. This way you can load all the goods on the selected bin. If you want to break the loop, press the cross button.

  1. Confirm or cancel previous steps (the user is offered information about what was loaded, how much was loaded, where it was loaded).

7. The process is repeated by choosing another bin - point 2.

8. If you interrupt the the loading process, you can continue later by pressing the button available in the menu.

If you loaded the same item and the same tracking on the same bin and location more than once, the quantity is automatically added up.

You can delete the loaded item or change its loaded quantity by using a menu invoked by long pressing the line.

The reader also directly shows whether the read item agrees with the system state or whether there is a difference. The difference is identified by an exclamation mark next to the bin.

You can see the change by viewing the row detail by clicking on it.

If you load an item that is not in the Physical inventory journal, a new line is automatically created in the journal after confirming the scan.

3. Transfer of the loaded data to Physical Inventory Journal can also be done manually using the function Actions - Mobile inventory - Evaluate Phys. Inventory. The function copies the retrieved quantities for individual items into the Quantity (physical inventory) field even if the physical inventory log was deleted and generated only after the actual physical Inventory was performed. The function creates new lines for the items that have been read by the reader and are not in the Journal. The function can be started repeatedly.

4. In case of large differences in the amounts of items in the individual bins between the BC and reality, it is possible to use the action Actions - Mobile inventory - Compare Item inventory to create a item reassignment sheet to balance the amounts. After posting this sheet in the Goods Transfer Journal, it is then necessary to generate the Physical Inventory Journal again (point 1) and compare the Quantity (calculated) and the quantity from the physical inventory journal.

5. Closing the physical inventory - in Physical inventory Journal launch Mobile Inventory - Close Physical Inventory. The function moves the tracking from the Physical Inventory Journal to the Reservation ledger.

6. Post the Physical Inventory - Standard Posting in Physical Inventory Journal.
